Position Summary:

This position is responsible for a wide range of International Sales Administration duties related to the orders and shipments of the company’s products from the US International Distribution Centers to its International Subsidiaries and Distributors worldwide. Maintenance of departmental statistics as required. Reasonable, reliable attendance and punctuality is an essential job function for this position.

 

Duties and Responsibilities:

  • Maintain the company’s compliance program relating to customs, duties, packaging, master data coordination and regulatory requirements such as Dangerous Goods from IATA, C-TPAT, cold chain management, and several others.
  • Process orders received from bioMerieux Subsidiaries which includes delivery creations for shipment processing.
  • Enter orders for distributors and make necessary order changes for shipment processing.
  • Respond to customer inquiries by phone, fax and email.
  • Communicate effectively with the Vendor Managed Inventory (VMI) department for any stock issues that may affect shipment of upcoming order(s).
  • Become and efficient liaison between other key departments within the Global Supply Chain organization such as Transportation department, Inventory Managers, Brand Demand teams, Buyer/Planners, and others.
  • Troubleshoot any issues that may arise in the shipment of bioMerieux goods through freight forwarders and other freight and transportation companies such as FedEx and DHL.  Also, maintain communication with bioMerieux warehouses and 3PL about order discrepancies and unit documentations.
  • Send weekly order reviews to Distributors and Regional Managers for their review
  • Create changes on open deliveries to fulfill shipment of order
  • Organize international ocean and air shipments with freight forwarders and transportations companies to ensure requirement shipment date is met for each order.
  • Post and close orders for generation of invoicing and other export documentation.
  • Send shipping documents in form of a pre-alert to freight forwarders and transportation companies, subsidiaries and/or Distributors.
  • Track and record customer complaints to ensure proper customer satisfaction.
  • Enter and process credits when due in SAP. Follow up with customer feedback
  • Maintain a record of shipments for insurance, statistical and audit purposes and prepare reports and updates as necessary.

 

Qualifications, Education and Experience:

  • Required minimum of 3 years' experience in customer support – with international accounts preferred. Education may be substituted and/or combined with work experience to meet this requirement. Course work in international studies preferred.
  • Export experience required
  • Customer service driven.
  • Experience with customs documentation and transportation is preferred.
  • MS Office proficiency, especially with spreadsheet preparation, is recommended. Some experience with a ERP systems and logistics would be helpful but not required.  SAP experience is preferred.
  • Additional language: Second language strongly preferred.
  • Excellent verbal and writing skills.
  • An enthusiasm for learning about international trade will help the candidate to be successful.
  • Work hours are 8:00AM to 5:00PM M-F. Time zone differences may also occasionally require flexibility in working some non-traditional hours.
