Description

Position Summary

Works under the direction of the Organizational Change Management Lead (CM) within the Corporate Program Management Office on medium complexity projects. The PC plans and coordinates project scheduling, change activities, and administrative tasks; supports the project staff by facilitating project logistics such as meetings, conference rooms, conference calls, etc.; takes meeting minutes and action items during meetings and performs basic follow-up; and assists in development of presentations.

The Project Coordinator II will manage small, low complexity projects independently with assistance from the Change Management Lead. Candidates for the PCII position have demonstrated leadership, the ability to condense information into a cohesive plan, and the ability to effectively communicate project information.

 

Responsibilities

  • Perform all work in compliance with company quality procedures and standards.
  • Performs other duties as assigned.
  • Perform all work in compliance with company policy and within the guidelines of BioFire Diagnostics’ Quality System.
  • Apply structured methodology, lead change management activities and attends project meetings
  • Assist the CM in drafting and maintaining project documentation including: project proposals, requirements, change management plans, and schedules.
  • Prepare and assist in communicating project status, risks, and timeline.
  • Work collaboratively with the project/program team.
  • Facilitate and track the progress and quality of work being performed by team members.
  • Use project scheduling and control tools to monitor project plans, and scheduled milestones.
  • Effectively and accurately communicate/report relevant project information to CM and PM team.
  • Ensure all documentation is complete at project close.
  • Work collaboratively within the department to support all department objectives.
  • Communicate ideas for improving company processes with a positive attitude.
  • Keep the CM informed about project status and issues that may impact the project.
  • Performs other duties as assigned.

  • Coordination of 3–5 low complexity projects
  • Timely and effective task completion, project budget and schedule performance, successful completion of yearly objectives (MBOs), management assessment of interpersonal skills.

 

Qualifications

Training and Education

  • Bachelor’s degree inbusiness, communication, IT, or equivalent technical field required.  
  • Change management certification preferred. 
  • PMP or related coursework, or related professional development is helpful.

 

Experience

  • 1-2 years of change management experience is required
  • Minimum of 2 years of project or program coordinator/management is helpful

 

Knowledge, Skills and Abilities

  • Excellent communication skills, both oral and written
  • Organization and attention to detail
  • Critical listening skills, and an ability to recognize important and high-level information
  • Experience with MS Office including Word, Excel, and PowerPoint
  • Experience with MS Visio preferred
  • Ability to prepare quick, pointed summaries for executives and stakeholders
  • Flexibility and agility to learn new topics quickly and assist where needed
  • Willing to accept and act on feedback
  • Willingness and ability to interact effectively and harmoniously with other people
  • Act as an ambassador for your projects and projects the team is responsible for
  • Self-motivated and able to manage time effectively
  • Some change management experience required including the ability to analyze and prepare risk mitigation
  • Experience and knowledge of change management principles, methodologies, and tools
  • Ability to influence others and move toward a common vision or goal
  • Some project management experience helpful including tasks such as stakeholder management; cost, scope, and schedule management, or leading project teams.

 

Physical Requirements

  • The ability to occasionally lift 15–20 pounds
  • Remain seated for extended periods of time
  • Travel short distances often and quickly (i.e., from one meeting to another)
  • Ability to maintain mental focus for extended periods of time.
