Sales Administrative Specialist

 Position Summary-

Perform a diversity of administrative and project oriented duties with a high level of precision in support of the Vice President of US Clinical Sales.  Must be self-directed in the execution of responsibilities and assigned tasks. Possess the ability to manage administration, logistics, coordination of the sales office, and sales meetings. Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work occasional evenings and weekends.

 

Primary Duties-

  • Maintain departmental roster, contact information, organization charts, public folder documentation
  • Meeting Planner and assisting in the implementation of commercial operations projects
  • Support the on-boarding of New Hires within the sales organization based on the SOP
  • Work directly with the new hire for travel arrangements (hotels and flights), create training schedules and set up appointments with all necessary departments
  • Create agendas and work closely with the new hire to ensure they have everything needed during their office visits
  • Update related internal employee documents needed to comply with all company policies
  • Request access for programs such as CRM, ShowPad and Definitive Health
  • Coordinate and schedule sales training with the US Learning and Development Team
  • Offer administration support to VP of US Clinical Sales and Sr Director of Commercial Operations.
  • Order and stock office/breakroom supplies
  • Reserve conference rooms for office based sales meetings
  • Prepare presentations; schedule meetings, create job requisitions, FedEx Admin, enters and confirms purchase orders via Eproc, coordinates travel arrangements, and prepares expense reports

 

Training and Education-

  • Minimum of a High School diploma or equivalent
  • Proficient in Microsoft Word, Microsoft Excel, Tableau and PowerPoint software programs (documentation of certified software training programs preferred)

 

Experience-

Minimum 2 years administrative assistant or project management experience

Effective organizational skills

Cross functional team environment orientation

Proficient in Microsoft Word, Microsoft Excel, Tableau and PowerPoint software programs

 

10% Domestic Travel
