Description

This role with support all multi-state multi-jurisdictional indirect transactional tax compliance to include sales and use tax, property tax, business licenses, annual reports, and all other indirect-tax matters while also providing minimal cross-functional support to the income tax team.  Assist with maintaining accuracy and completeness of the sales and use tax database and customer sales and use tax exemption certificates.  Assist with real and personal property tax compliance.

This position will report to the Tax Manager, and is structured to allow flexibility including 50% remote, 50% in office schedule. For an out of area candidate, a generous relocation package is offered.


Position Summary

  • Support all multi-state multi-jurisdictional indirect transactional tax compliance to include sales and use tax, property tax, business licenses, annual reports, and all other indirect-tax matters. Assist with maintaining accuracy and completeness of the sales and use tax database as well as current and accurate customer sales and use tax exemption certificates.  Assist with real and personal property tax compliance. 
  • Sales and use tax compliance and property tax compliance is managed internally but prepared and filed by a 3rd party provider. 
  • Provide cross-functional support to the income tax team.

Primary Duties

  1. Perform all work in compliance with company quality procedures and standards.
  2. Support compliance cycle for both state and local sales, use, and property tax returns in an accurate and timely manner. Bring exposure issues to management’s attention as they arise.
  3. Leverage available research tools and external resources to keep current on changes in tax law.
  4. Support state and local sales tax, use tax, and property tax audits; bring any potential areas of contention with taxing jurisdictions to management’s attention.
  5. Prepare necessary entries and reconcile sales tax, use tax, and property tax accounts to the general ledger on a monthly basis.
  6. Support A/R with customer taxation / interface between SAP (ERP) and OITS (Tax Engine).
  7. Aid manager in maintaining accuracy and completeness of sales and use tax database. Ensure updates for tax changes are identified timely and accurately, and review transaction flow from the GL to the sales and use tax database for discrepancies.
  8. Manage new customer setup requests and exemption status in certificate database (OITS). Maintain current exemption certificates to support classification.
  9. Maintain current state and local business licenses to include locality registrations for sales tax compliance as well as sales tax license renewals on a timely basis.
  10. Prepare quarterly Business and Occupational (B&O) tax returns.
  11. Monitor tax notices and change of taxation rules including filing frequencies in all states and ensure timely and accurate compliance.
  12. Liaise with registered agent to ensure all required Secretary of State filings are current.
  13. Maintain and update company information in state online tax accounts.
  14. Perform other duties, including support of income tax team and other business initiatives, as assigned. 

Qualifications

Training and Education

BA or BS in Accounting or Finance required.

Experience

  1. Minimum one year of experience in Sales and Use Tax application.
  2. Experience in Life Science industry preferred but not required.

Knowledge, Skills, and Abilities

  • Excellent verbal and written communication, interpersonal, analytical, and organizational skills.
  • Intermediate proficiency or higher in MS Excel, MS Word, and other MS Office applications.
  • Solid working knowledge of debits and credits and general accounting principles.
  • Experience with SAP, Avalara, OITS (OnDemand Indirect Tax Service), and Certificate Manager preferred but not required.
  • Experience with Alteryx or ETL software desired but not required.
  • Tax research skills.
  • Focus on continuous improvement, including process improvement.
