The project Coordinator serves in a support role to Program Managers (PMs) within the department. PC supports Program Management with program proposal preparation, program planning, scheduling, cost analysis, requirements definition, internal communications, contract negotiations, change orders, implementation, performance analysis, etc.  PC also assists employees in other departments as required by the project/program. PC supports project teams by facilitating project logistics and supporting key aspects of small and/or medium-complexity cross-functional programs.

PC2 will manage small, low complexity projects. PC2 should be comfortable in leadership roles, be able to condense information into a cohesive plan, and be able to effectively communicate and execute plans.

PC3 co-leads multiple projects, and independently manages projects of small / medium complexity. PC3 should be comfortable in leadership roles, be able to condense information into a cohesive plan, and be able to effectively communicate and execute plans.

PC2 Principal Job Duties and Responsibilities:

  1. Attend meetings and take minutes, record action items and key decisions.
  2. Assist Program and Project Managers in recognizing and executing project requirements.
  3. Assist Program and Project Managers in drafting project proposals, design input documentation, project plans, schedules, presentations, technical reviews, etc.
  4. Work collaboratively with the project / program team.
  5. Use project scheduling and control tools to monitor project plans, and scheduled milestones.
  6. Analyze relevant project information with PMs (e.g., project status, issues impacting the project, etc.).
  7. Track and manage change notices and change orders with the Technology Transfer team.
  8. Maintain project documentation, and ensure that appropriate documentation is complete at project close.
  9. Independently manages small, low complexity projects

Bachelor’s degree; B.S. in life science or engineering or equivalent technical field a plus.

2+ years of project or program coordinator/management experience.

PC3 Principal Job Duties and Responsibilities:

  2. Assist Program and Project Managers in recognizing and executing project requirements.
  3. Draft project proposals, design input documentation, project plans, schedules, presentations, technical reviews, etc.
  4. Work collaboratively with the project / program team.
  5. Use project scheduling and control tools to monitor project plans, budgets and milestones.
  6. Report relevant project information to upper Program Management and stakeholders.
  7. Track and manage change notices and change orders with the Technology Transfer team.
  8. Maintain project documentation, and ensure that appropriate documentation is complete at project close.
  9. Independently manages small, medium complexity projects.

Ensure consistent practices throughout all phases of the project life cycle and across projects in the program (i.e., monitors projects from cradle-to-grave).

Bachelor’s degree; B.S. in life science or engineering or equivalent technical field a plus.

3+ years of project or program coordinator / management experience

  • Self-motivated, and able to manage time effectively.
  • Can effectively work as part of a team, and supports the team with a helpful attitude.
  • Clear and transparent verbal and written communication.
  • Critical listening skills, and an ability to recognize important and high-level information.
  • Ability to stay positive and calm in stressful situations.
  • Ability to adjust to changes in scheduling, and general flexibility in the work environment.

  • Ability to complete work quickly and efficiently.
  • Critical and innovative thinker.
  • Pro-active.

The ability to occasionally lift 15-20 pounds; remain seated for extended periods of time; and travel short distances often and quickly (i.e., from one meeting to another). Ability to maintain mental focus for extended periods of time.
