The Medical Affairs Coordinator serves in a support role to the Medical Affairs team by performing a wide variety of support functions. The primary responsibility will be to provide the logistical support necessary for the various Global Medical Affair Molecular Study Programs, including orders and shipments of reagents and instruments, tracking key information in an electronic platform and assisting with the generation and maintenance of study documents. Other tasks include coordinating and scheduling meetings and travel, completing expense reports, compiling reports on departmental activities and assisting with a variety of administrative tasks (take meeting minutes and action items during meetings and performs basic follow-up) as needed. The position requires strong skill with all Microsoft Office programs (Excel, Word and PowerPoint), attention to detail and strong communication skills.
Essential Job Duties and Responsibilities
Perform all work in compliance with company policy and within the guidelines of BioFire Diagnostics’ Quality System.
Maintain a spreadsheet (or other electronic platform) of Study program documents, related to BioFire’s products.
Attend study related meetings, provide follow-up documentation including action items, meeting minutes, and key decisions.
Provide logistical support for the Global Study Programs.
Generate study related reports based on departmental data.
Facilitate and attend Medical Affairs meetings, including room and participant scheduling, meeting minute documentation and distribution, etc.
Schedule and coordinate visits by external speakers/KOLs and job candidates.
Complete and submit expense reports for Medical Affairs team members.
Provide general administrative support for the team as needed.
Collaborate effectively with team members, both in the Medical Affairs department and in the larger BioFire community.
Manage small, low complexity departmental projects with managerial support.
Perform other duties as assigned.
This position requires excellent written and oral communication skills
Excellent interpersonal skills and the ability to work with a wide variety of people (physicians, laboratory directors, laboratory staff, etc). involved in conducting the clinical studies
The ability to work closely with management and to identify and communicate areas of technical, schedule and budget risk
Some driving within Salt Lake County may be required. Must provide own transportation.
Domestic and international travel required – up to 20%
Training and Education
Associate’s degree or higher in a scientific or business administration discipline. A minimum of 2 years of previous directly related administrative support experience may be considered in lieu of education.
1 year of administrative and/or office support related experience.
Knowledge, Skills and Abilities
Must be proficient with all Microsoft Office Suite products including use of advanced Excel functions.
