Position Summary

The Marketing Communications (MarCom) Administrative Assistant serves in an administrative support role to the Marketing Communications (MarCom) director and the team by performing a wide variety of support functions office administration duties. Duties include prioritizing emails and phone calls, assisting with special projects, designing and producing complex documents, reports, and presentations, collecting and preparing information for meetings, and coordinating travel arrangements.

 

Primary Duties

Perform all work in compliance with company quality procedures and standards.

Provide administrative assistance and support to leadership, such as writing and editing e-mails, drafting memos, preparing communications, and assisting with creating PowerPoint slides/presentations.

Maintain comprehensive and accurate records.

Perform minor accounting duties, including tracking department and leadership spending and completing and submitting expense reports in compliance with company policy and guidelines.

Schedule and support department meetings, including scheduling meeting rooms, confirming internal and external attendees, recording minutes, action items, and key decisions.

Manage calendar, including making appointments and prioritizing the most sensitive matters.

Manage department master calendar.

Make travel arrangements.

Assists with departmental team communication as needed.

Provide customer service.

Order and stock office/break room supplies.

Performs other duties as assigned.

 

Qualifications

Training and Education

  • A college degree in relevant field preferred but equivalent professional experience acceptable.
  • High School Diploma or GED
  • 5 years of work experience will be accepted in lieu of degree

 

Experience

Experience working in a fast-paced, demanding environment with many projects, numerous simultaneous information sources, and a multitude of processes and protocols while instilling a calm, confident, and consistently positive and upbeat environment.

Ability to manage multiple priorities simultaneously and meet deadlines from a variety of managers and directors while paying attention to multiple details.

Working Conditions and Physical Requirements

Ability to ascend/descend stairs, ladders, ramps, and the like.

Ability to adjust or move objects up to 50 pounds in all directions.
