Administrative Assistant

Position Summary:

Responsible for initiating and coordinating a wide variety of administrative support functions required for supporting a high-paced professional business operation.  Must project corporate values and loyalty. Duties require initiative, attention to detail, and the ability to adapt to frequently changing situations with sensitivity to confidential and propriety information. The successful candidate is one who conducts the duties with professionalism and integrity. This position normally reports to the head of US Marketing. In addition to supporting the head of US marketing, this position will also support other members of the US Marketing team.

Main Accountabilities:

  1. Perform all work in compliance with company policy and within the guidelines of the bioMerieux Quality System.
  2. Prepares documents and reports from general instructions. Uses Microsoft Office (Word, Excel, Powerpoint, Outlook).
  3. Prepares Purchase Orders, contracts and ensures payment within the PO process.  
  4. Facilitates new team member onboarding in conjunction with hiring manager.
  5. Manages Microsoft Teams Channels and shared drives for Marketing Department.
  6. Maintains key points of contact lists for Marketing Team, manages marketing mailing lists
  7. Arranges team travel
  8. Handles confidential correspondence and documents; assembles data from various sources and compiles reports.
  9. Provides schedule and calendar management.
  10. Manages inventory of and replenishing office supplies for marketing team
  11. Maintains inter-department organization charts
  12. Performs other related administrative duties as required.


Studies, Experience, Skills and Qualifications:


  • High School Diploma or Equivalent
  • Minimum of two years administrative assistant experience or an associate or bachelor degree with one year of experience.
  • Must be able to meet all requirements of the administrative assistant position.
  • Must be competent in Microsoft Word, PowerPoint, and Excel.
  • Excellent organizational and written/verbal communication skills.
  • Must be able to work with confidential information always maintaining its confidentiality.
  • Must have integrity and loyalty.\



  • Secretarial or Business School Training
  • Some knowledge of medical, laboratory, and biological sciences.
  • Some college level courses in sciences and in effective writing.
