Job Summary

Event and Meeting Coordinator II works independently on and serves in a support role to the Marketing Communications (MarCom) Event and Trade Show Manager Event and Meeting Coordinator III and on the completion of moderately complex events and meetings assigned to the Marketing Communication Team. Event and Meeting Coordinator II performs a variety of different tasks including coordinating and leading meeting with stakeholders to gain understanding of event or meeting purpose and goals, research venues, site visits, site selection, create and maintain agenda, manage outside vendors, room blocks, meeting rooms, food and beverage, décor, attendee gifts, compliance with venue regulations, budget tracking and reporting on moderately complex events and meetings.

 

The Event and Meeting Coordinator II supports multiple moderately complex events and meetings simultaneously in different stages of completion. The Event and Meeting Coordinator II should be comfortable in a leadership role and be able to effectively and efficiently communicate meeting plan details and execution plans under the direction of MarCom Manager or Event and Meeting Coordinator III.

 

Essential Job Duties and Responsibilities

  • Manage the strategic plan of basic to more complex meeting and events.
  • Track expenses for event budget reconciliation.
  • Primary contact for assigned meeting or event.
  • Guide and participate in creative brainstorming meetings with management and stakeholders.
  • Research venues that can accommodate the needs for the event or meeting (hotel size and meeting rooms).
  • Verify that all venue rules, regulations, requirements are met.
  • Verify that all deadlines are met.
  • Purpose options of locations and venues to management and stakeholders.
  • Conduct meeting to pitch creative meeting ideas to stakeholders.
  • Negotiate food and beverage, hotel, meeting room and all outside vendor spends.
  • Submit all contract to legal for review and invoices to accounting for payment.
  • Manage room blocks.
  • Conduct pre- and post – event evaluations and report on outcomes.
  • May coach other Event and Meeting Coordinator.

  • Travel throughout the year is required.

 

Qualifications

  • Training and Education
  • Certified Meeting Planner (CMP) required.

 

Experience

  • Certified Meeting Planner (CMP) preferred.
  • Minimum of 2 years of experience meeting and event planning.
  • Demonstrated proficiency completing basic to more complex meeting and event planning.
  • Bachelor’s degree in business management, hotel and hospitality management is preferred but equivalent professional experience acceptable.
  • Experienced at negotiating contracts and building network with vendors.

  • Directly lead union labor on show floor.
  • Strong networking and multitasking skills.
  • Must be proficient in MS Office Word, Excel, PowerPoint and Google Docs.

 

Physical Requirements

The ability to occasionally lift 15-20 pounds; remain seated for extended periods of time; and travel short distances often and quickly (i.e., from one meeting to another). Ability to maintain mental focus for extended periods of time.
